Accommodation

Accommodation may be arranged independently by Conference participants or through AKM Travel who has secured the maximum number of hotel rooms available in Geneva and the surrounding area. Travel time from hotels to the Conference Centre Palexpo may vary from a few minutes to a maximum of 90 minutes.

The hotel rooms have been placed in 6 categories based on price range. Each category has a minimum and a maximum rate based on single/double occupancy. The rates are per room and per night, including breakfast, service and taxes. Participants are asked to complete the Accommodation Form by indicating their choice of category. AKM Travel will make every attempt to place participants in the category of their choice.

The hotel areas have been grouped by zones (see map below). AKM Travel will choose the closest zone available within the price range you have chosen.

All requests for hotel accommodation through AKM Travel must be made on the Accommodation Form included in the pocket of the Second Announcement, and must be received by AKM Travel by April 1, 1998. Requests will be filled in the order they are received, as long as these requests are accompanied by the required hotel deposit of CHF 400.

AKM Travel will send you a confirmation upon receipt of your deposit. The deposit will be deducted from your final hotel invoice sent to you by AKM Travel. The total cost for accommodation must be fully paid at least 6 weeks prior to arrival. (When checking out, all extras such as mini-bar, telephone charges, room service and so on, must be settled with the hotel directly.)

We urge you to submit your forms early to obtain your preferred accommodation. If space is not available in the category of your choice, reservations will be made in another available category, higher or lower, according to your instructions on the form.

Changes to Original Accommodation Requests and Late Booking
All changes to hotel reservations are to be performed by AKM Travel. Please do not contact the hotels directly. These changes must be requested in writing (preferably by fax).

All changes and late bookings (after April 1, 1998) are subject to a handling fee of CHF 25 per person.

Cancellation of Accommodation
If your hotel reservation is cancelled before April 1, 1998, the deposit will be refunded less a CHF 50 handling fee. If your reservation is cancelled after April 1, 1998 no refund will be made.

Methods of Payment for Accommodation and Tours
Payment for hotel deposit and tours must accompany the Accommodation and Tours Form. Payment must be made in Swiss currency, in one of the following ways:

1. Banker’s Draft, sent together with the form to AKM travel, made out in Swiss francs to AKM Travel, attention AIDS 98. We regret we are unable to accept personal or company cheques.

2. Bank Transfer, free of charge for the recipient, to Union Bank of Switzerland, account No. 595.400.02H WAC, AKM Travel attn. AIDS 98 and your name.

3. Credit Card holders of American Express, Visa or Mastercard/Eurocard or Diners Club may use their cards for charging costs. Please indicate the number and expiration date on the form.
